FAQ Habilitation

Prerequisites

Please discuss in advance with your subject representative whether you meet the requirements for habilitation (see information sheet and habilitation regulations) and whether he/she will support your application with a statement/letter of endorsement.

In terms of admission requirements, the Faculty of Medicine Tübingen distinguishes between applicants with a clinical focus and non-clinical applicants. For the group of non-clinically active applicants, a distinction is made between a habilitation module with a focus on research (acquisition of third-party funding required) and a further habilitation module with a focus on teaching (teaching research project required).

For non-clinical applicants in the habilitation module with a focus on research, proof of at least one successful acquisition of extramural, peer-reviewed third-party funding as PI or Co-PI (applicant or co-applicant with significant own budget allocation) of a research project with e.g. DFG, BMBF, etc. is required for the application for habilitation. A transitional period has been set for this until the beginning of 2025. We will be happy to advise you on this.

Applicants must prove that they are conducting research in the field of teaching.

Please consult your subject representative about your habilitation subject.

For clinically active applicants with specialist training, the habilitation subject corresponds to the specialist title.

Clinically active applicants without specialist training cannot choose a subject from the further training regulations of the State Medical Association and generally habilitate in the subject "Experimental Medicine". It is also possible to use the subject title with the addition "Experimental ..." (e.g. "Experimental Occupational Medicine"). Other subjects can also be proposed; the choice of subject is based on the DFG subject classification system. Subject representation at the MFT must be given in any case.

If you submit your habilitation application before completing your specialist training, you can initially fall back on the regulations described above. If you complete your specialist training during the habilitation procedure, the specialty can be adjusted after approval by the habilitation committee. If the habilitation procedure is completed before the specialist examination, you can informally apply for an "extension of specialty".

For natural scientists and non-clinically active applicants in the social sciences (health services research, public health, social medicine), no subject from the further training regulations of the State Medical Association is possible. The following options are available here: Experimental medicine or e.g. "Experimental occupational medicine", digital health, health services research, public health and all subjects for which study programs have been established at the MFT.

The course "Good Scientific Practice for Supervisors" must be completed before submitting the application for habilitation. Information material for the course, which consists of asynchronous and synchronous parts, is available online via Ilias. In order to participate in the final 1.5-hour webinar, it is assumed that you have dealt with the content in Ilias and have made contributions in thematic discussion forums. The total workload is 6-8 hours. The webinar will be led by the faculty ombudspersons. This course is also open to all persons who have already completed their habilitation.

The habilitation thesis can be submitted as a monograph or as a cumulative publication (usually including 5 publications in first, last or co-authorship). Please note the information in the information sheet and the habilitation regulations. For cumulative publications: Please mark the publications you wish to include in the habilitation portal. For monographs, a plagiarism check is required, which takes place in the habilitation office.

When submitting your application, you must specify three topics for a scientific-didactic presentation. One topic must be related to the topic of the habilitation thesis. The other two proposed topics should deal with current issues in the habilitation subject that are not directly related to the topic of the habilitation thesis. The habilitation committee decides on the topic.

You need a subject representative at our faculty. The intended habilitation subject, teaching achievements and future collaboration in research and teaching should be discussed in advance in a consultation. Further information can be found in the FAQs on teaching.

Procedure of the habilitation process

Each application is presented to the habilitation committee. Here, the overall performance is assessed and, if the requirements are met, the assessment procedure is initiated. Two external reviewers and your subject representative will then be asked for their expertise. The procedure usually takes 8-10 months and ends with your oral habilitation performance - a public lecture at a habilitation committee meeting. Please refer to the information sheet for the exact procedure.

Application

Applications are submitted via the habilitation portal. You will receive the access data on request (to habilitationen@med.uni-tuebingen.de ), stating your subject representative and the planned habilitation subject. As soon as your documents are complete, your application can be formally reviewed. If you are unsure whether all the necessary requirements have been met, you are welcome to submit a digital preliminary inquiry via the habilitation portal. Your documents will be reviewed and then made available to you again for completion.

The statement is sent directly to the habilitation office by your subject representative. We will attach it to your digital application.

You can also submit the printed version of your habilitation thesis after your procedure has been initiated; the digital version is sufficient for review. You are welcome to request printing from the in-house print shop or visit a copy store; we do not recommend this.

The list of documents can be found on the last page of the corresponding application form. Please sign the original and send it by post to the Habilitation Office.

Habilitation portal

Your application should be listed in the lower area under "My applications". The tile with the "plus" symbol creates new, empty applications. If you cannot find your data that has not yet been saved, please contact us with a brief explanation of what you have done.

Please try logging in again using a different browser. This usually solves the problem.

You have probably entered your password incorrectly. Please contact the habilitation office and ask for your account to be reactivated.

Difficulties occur in particular when formatting Excel tables. Please ensure that you only import the cells with content into the PDF.

Please select the relevant institution at the MFT from the drop-down list for the work address and then enter the relevant subject representative at the MFT in the Procedure section. You can enter an external office in the "Other employment" field

Publications

Please check your publication record with regard to the requirements described (information sheet & habilitation regulations). As a rule, the following applies: 15 original publications, 10 of which you have published as first or last author. It is possible to compensate for up to three publications with other achievements. (see below) It is important to note that the habilitation achievement is always about the evaluation of the overall work. The decision on the recognition of academic achievements lies with the committee.

You can find this information at https://jcr.clarivate.com/jcr/home. Please ALWAYS use the information on the year in which your publication was published. You submit these details in the habilitation portal via the link to Pubmed and also summarized in the Excel spreadsheet, which you can find on our homepage. This must also be submitted in the habilitation portal.

If you are unsure whether your publication record is sufficient, you can submit a PRIOR INQUIRY in the habilitation portal. This only makes sense if you are likely to meet the other requirements for habilitation and intend to submit your application in the near future.

Your work from the dissertation will be considered for publication. Please note that a dissertation or the publications resulting from it may not be used in the habilitation thesis.

As a rule, a maximum of 2 shared authorships can be considered within the scope of the required first or last authorships. Your own contribution is always important, which must also be stated and which is then reflected in the authorship list in accordance with the regulations of good scientific practice. It is not possible to make a general statement as to whether a shared first or a shared last authorship has a better chance of being recognized. It is always your individual body of work that counts and you should discuss this with your subject representative first and foremost.

As a rule, no. However, you can request this in consultation with your subject representative. This should also be mentioned again in the letter of endorsement.

If you would like to apply for compensation for publications as part of your habilitation application, please first discuss with your subject representative whether he/she agrees to the application. Please then upload a list of the requested compensation achievements to the habilitation portal. Please note the following requirements and information on the evidence.

Only achievements that have taken place after the doctorate can be credited:

  • High-impact publications (IF>20: counts for 3 publications, IF>10 for 2 publications): to be applied for informally by the applicant
  • Publications in journals in the top 5% of the subject-specific ranking (compensation for 1 publication): to be applied for informally by the applicant
  • Double doctorate for applicants in medicine (compensation for 1 publication) to be applied for informally by the applicant
  • 6-month. Postdoc stay at an external, scientific institution (compensation for 1 publication) (compensation for 1 publication) to be applied for informally by the applicant
  • Management of an innovative clinical study in the sense of an IIT study (compensation for 1 publication) to be applied for informally by the applicant , stating the management or co-management of the clinical study / type of clinical study / topic / time frame
  • Only for clinically active applicants: successful acquisition of extramural third-party funding, peer reviewed as PI or co-PI (compensation for up to 2 publications). Please use the form under "Information" on the homepage and submit the supporting documents for third-party funding approval in the habilitation portal
  • Establishment of a new teaching module in coordination with the TIME Institute (compensation for 1 publication): Please use the TIME Institute form under "Information" on the homepage and send it to:
    time@med.uni-tuebingen.de and upload it to the habilitation portal
  • Proof of activity as a teaching coordinator after a corresponding description of the range of tasks for the duration of at least one year (proof by confirmation from the head of department) (compensation for 1 publication) to be applied for informally by the applicant with the signature of the teaching coordinator

Teaching

It must be taught continuously over at least 3 semesters for at least 2 SWS. Student evaluations must be available for this teaching. The teaching should have been predominantly in the intended habilitation subject.

In individual cases, teaching can also be provided over a longer period of time. If you have taught less than 2 SWS in one semester, you can apply for more SWS in a subsequent semester to compensate for this. You should not teach less than 1 SWS in any semester. Maternity and parental leave will of course be taken into account.

Teaching in all degree programs of the Faculty of Medicine can be credited. You can find a list of degree programs here

Study programs

If you have any questions about teaching opportunities, please contact the degree program coordinator or the habilitation office. As a general rule, only teaching within the framework of degree programs is considered university teaching. Teaching in training occupations cannot be credited.

At least 1 of the 2 SWS must be teaching in accordance with the Teaching Obligations Ordinance (LVVO-compliant teaching). In general, this includes formats such as lectures, seminars, practicals and theses. As a rule, this teaching should be curricular, i.e. "compulsory or compulsory elective teaching".

In addition, the faculty offers the opportunity to have further teaching activities recognized as part of the habilitation. This includes, for example, mentoring activities as part of the learning portfolio, supervision of a Tü-REX project or activities in the context of examinations or teaching organization (study, examination or PJ representative, module supervisor). It is not sufficient if you can only present the learning portfolio or Tü-REX.

The Faculty of Medicine offers all lecturers the opportunity to obtain personal, individualized feedback ("lecturer evaluation") from students during courses. To do this, you can use a QR code provided by the evaluation team. It is your responsibility to request this QR code and to use it in good time. This form of evaluation is primarily intended for your personal feedback, but can be used by you in academic procedures. Further information on teaching evaluation can be found here

If you are solely or largely responsible for a course, you can also attach the evaluation results of the course evaluation to the application. In the case of older evaluations where no personal results are available, you can also submit the course evaluation and, if applicable, the overall evaluation of all lecturers. Please anonymize third parties here.

The same requirements apply as for all applicants, and you should also be able to demonstrate that you can continue to teach for our faculty after receiving your habilitation.

External lecturers must coordinate their teaching with the study representative of the respective subject or the dean of the degree program. Exceptions to this are structured courses for students in their final year at their own teaching hospital, such as regularly offered seminars for several final year students. Please note here:

Structured 1:1 supervision also counts as teaching in the PJ. Please also document your teaching hours here.

Teaching is recognized in the same way as internal teaching. Please always document your own teaching hours.

If you have enough student participants, have your course evaluated and/or use your personal lecturer evaluation. The evaluation team will be happy to support you.

If you transfer to us, you must also fulfill the title teaching requirement of 2 SWS with us. In addition, you can keep the teaching assignment at the previous university, please check this again on site.

Title management

The Ministry of Science, Research and the Arts Baden-Württemberg has informed you that, as a habilitated person, you may only use the title Privatdozent (private lecturer) if you actually teach.

In consultation with the lecturer of the subject, you could continue to teach. In this case, please let us know, as we will then note this accordingly in our database.

Rehabilitation

As a rule, people who are employed full-time at institutions of the faculty or the university hospital are supported in their rehabilitation. You can find the application form under "Information". You will find all the required documents on the last page of the application form. The application is submitted via the habilitation portal.

This takes place in two stages after a minimum of 2 years and proof of the required evaluated teaching performance. We will be happy to advise you on this.

No further expert opinions are obtained for the rehabilitation. The application is discussed and decided on by the habilitation committee. The submission of a statement by a subject representative is required. For the application for an APL professorship, which could only be submitted after 4 semesters of well-evaluated teaching for the University of Tübingen, 1 internal and 2 external reviews are obtained

From the time of rehabilitation in Tübingen. These should be research projects that have arisen from cooperation projects with us.
